The tools we actually use - and install for clients

The booking systems, practice software, payments, automations and AI behind a well-run healthcare practice — the exact tools we use ourselves and set up inside real clinics and private practices. Every one earns its place by being genuinely useful, never by paying to be here.

Everything we recommend, grouped by job

Each tool is tagged by how strongly we stand behind it — installed for clients, used & recommended, or a budget pick.

1

Practice Management Systems

Practice management software is the clinical and administrative hub of a practice — client records,
scheduling, notes, invoicing and secure communications in one system. The right one depends on
your discipline and size. These are the platforms we trust.

WriteUpp

Practice management for therapists and allied health – notes, scheduling, invoicing and client records in one place.

Why we recommend it: Clean, affordable, and quick to learn. A sensible first system once you’ve outgrown spreadsheets.

Zanda

Therapy and allied-health practice management with strong automation, SMS reminders, a client portal and payments.

Why we recommend it: What we most often install once a practice wants reminders and payments handled automatically.

Jane

All-in-one scheduling, charting and online payments — widely used by physiotherapy and multidisciplinary clinics.

Why we recommend it: Polished and genuinely clinician-friendly. A strong choice for allied health and busier multi-practitioner practices.

Simple Practice

All-in-one practice management and EHR for therapists — scheduling, notes, billing, telehealth and a client portal.

Why we recommend it: A polished, widely used choice, especially for US-based therapy practices.

Carepatron

All-in-one practice management for health and wellness professionals, with a generous free tier.

Why we recommend it: Broad discipline support and a low-risk way to start on a proper system.

Pabau

Practice management for private multi-disciplinary and aesthetic clinics — records, scheduling, marketing and reporting.

Why we recommend it: Built for busier private clinics that need clinical and commercial features in one place.

NutriAdmin

Practice management built specifically for dietitians and nutrition professionals — meal plans, notes and client tracking.

Why we recommend it: Purpose-built for nutrition work, which generic practice tools handle poorly.

2

Booking, Scheduling & Space

For taking appointments cleanly — and, if you rent or share rooms, keeping spaces booked without the double-booking admin.

SimplyBook.me

Flexible online booking with intake forms, deposits, memberships and class scheduling.

Why we recommend it: More configurable than most — the right pick when you need intake forms or a deposit at booking.

Setmore

Free online booking with calendar sync, reminders and payment options.

Why we recommend it: A genuinely useful free option for a practice not yet ready for a full system.

Skedda

Room, desk and space booking — built for therapy rooms, shared clinics and rented consulting spaces.

Why we recommend it: If you rent or share rooms, this removes the double-booking and the back-and-forth admin.

3

Payments & Banking

Getting paid cleanly — and keeping practice finances separate from personal ones — is the quiet foundation of a stable practice.

Revolut Business

Multi-currency business account with cards, payments and invoicing — strong for practices working across currencies.

Why we recommend it: What we use ourselves. Fast to open and genuinely useful if you bill in more than one currency.

Square

Card payments, point-of-sale and invoicing — well suited to clinics taking payment in person.

Why we recommend it: Reliable in-person and online payments without a complicated merchant-account setup.

SumUp

Card readers, invoicing and online payments in one place.

Why we recommend it: Affordable card payments without a complex setup — a strong fit in Ireland and the UK.

4

Accounting, Tax & Bookkeeping

Keeping your books current and your tax under control — so the financial side of practice stops
being a source of stress.

Heard

Bookkeeping, taxes and payroll built specifically for mental health and wellness providers.

Why we recommend it: Takes the financial admin off a therapist’s plate — built for the profession, not generic. US-focused.

Xero

Cloud accounting for invoicing, expenses, bank reconciliation and reporting.

Why we recommend it: The accounting backbone we’d point most practices to for clean, current books.

5

Websites, Hosting & Email

Everything to get a credible practice online: a website, a domain, reliable hosting, and professional email on your own name.

10Web

AI-assisted WordPress website builder with managed hosting included.

Why we recommend it: A fast route to a credible WordPress site — the engine behind several ready-to-launch practice websites.

Namecheap

Domain registration, hosting and SSL certificates.

Why we recommend it: A reliable, low-cost home for your domain, with the basics done right.

Hostinger

Affordable, reliable web hosting for practices just starting out.

Why we recommend it: Low-cost hosting when budget is the main constraint.

Google Workspace

Professional email on your own domain, plus Calendar, Docs, Drive and Meet.

Why we recommend it: The foundation we set up for almost every practice — a branded email address alone changes how you’re perceived.

6

Website SEO & GDPR Compliance

Two jobs every healthcare website has to get right: being found, and handling visitor data lawfully.
For WordPress sites, these are what we install.

Rank Math

SEO plugin for WordPress — on-page optimisation, schema markup and redirect management.

Why we recommend it: What we use and install. Handles the technical SEO most practice sites quietly get wrong.

Complianz

GDPR and ePrivacy cookie consent and privacy compliance for WordPress.

Why we recommend it: Installed on client sites to keep cookie consent and privacy handling on the right side of GDPR.

7

Marketing, CRM & Automation

Capturing, tracking and nurturing enquiries without doing it all by hand — from simple email to a full CRM.

HubSpot

CRM with contacts, pipeline, email and marketing automation in one place.

Why we recommend it: Best when a growing practice or clinic is serious about tracking and nurturing enquiries.

Kartra

All-in-one platform for email, funnels, memberships, checkout and automation.

Why we recommend it: What Wellmarkit runs on. Powerful once you’re ready to consolidate in one place.

Systeme.io

All-in-one funnels, email and courses on a genuinely low budget, with a capable free tier.

Why we recommend it: The value option when you want funnels and email without a bigger investment.

ActiveCampaign

Advanced email marketing and automation with strong CRM and segmentation features.

Why we recommend it: Best when email nurture and segmentation are central to how you attract clients.

ManyChat

Automated conversations across Instagram, Messenger and WhatsApp.

Why we recommend it: Useful for capturing and qualifying enquiries from social media automatically.

8

Patient Communication & Front Desk

The front-desk layer — calls, texts, reminders and reviews — that decides whether an enquiry becomes a booked, retained patient.

Weave

All-in-one patient communication for clinics — phone, texting, reminders, reviews and payments.

Why we recommend it: Fixes the front-desk leaks that quietly cost clinics booked appointments.

9

Social Media & Content

Showing up consistently and credibly online — the tools and training that make content sustainable rather than a second job.

OneUp

Social media scheduling across all major channels, including Google Business Profile, with recurring posts.

Why we recommend it: What we use to stay consistent. The recurring-post feature is the standout.

Descript

Edit video and podcasts by editing the transcript, plus AI clean-up of filler and audio.

Why we recommend it: Cuts content-editing time dramatically, especially for video.

The Content Club

Content training that teaches practitioners to post credibly and consistently — not salesy or performative.

Why we recommend it: For owners who’d rather learn to do their own content well than hand it to an agency.

10

AI, Voice & Productivity

Used well, AI gives a small practice the leverage of a much bigger one — reclaiming hours from documentation, transcription and content. Used carelessly with client data, it creates risk. These are the ones worth knowing.

Wispr Flow

AI voice dictation — write emails, notes and content by speaking, anywhere on your computer.

Why we recommend it: Easily the tool that has saved us the most time this year.

Heidi Health

AI clinical scribe that drafts consultation notes in real time, so documentation is written while you focus on the patient.

Why we recommend it: A serious time-saver for clinics. As with any tool handling patient data, confirm your consent and data-processing position before use.

ElevenLabs

High-quality AI voice generation for video voiceover, audio content and accessibility.

Why we recommend it: Natural-sounding AI voiceover that lets you produce audio without recording yourself.

11

Wellness & Movement Platforms

Pilates, yoga and class-based movement practices have needs standard tools don’t cover — memberships, class passes and group scheduling. These are built for that model.

OfferingTree

All-in-one platform for wellness practitioners — booking, payments, website and email.

Why we recommend it: Well suited to Pilates, yoga and movement practices that want everything in one place.

Momence

Scheduling, payments and marketing for studios and class-based movement practices.

Why we recommend it: A strong fit for class-based Pilates and yoga practices managing memberships and group bookings.

12

Community Building

If your growth plan includes a membership, group programme or paid community, the platform you choose shapes the whole experience. These are the two we rate.

Circle

Premium community platform for memberships, courses, events and discussion.

Why we recommend it: What the Therapist Business Club runs on. The best balance of polish and simplicity for a paid community.

Skool

Community plus courses in one simple, gamified platform.

Why we recommend it: A simpler, lower-cost route if you want a community and a course together.

Not sure which of these you actually need?

A list of good tools isn’t a plan. The right stack depends on your discipline, your stage, your budget,
and where your practice is actually losing time and money right now. If you’d rather not guess: a Clinic Growth & Systems Audit (for clinics) or a Mentoring Session (for therapists and allied health) will tell you exactly which tools you need, in what order, and which ones you can skip. You’ll leave with a clear plan — even if you set everything up yourself.

No pressure. If we’re not the right fit, we’ll tell you. You’ll leave with a clear next step regardless.

Prefer ongoing support and a community of practice owners who take the business side seriously?
The Therapist Business Club is built for that.

In plain English

Wellmarkit recommends a curated set of software tools for healthcare practices, organised by job: practice management; booking, scheduling and space; payments and banking; accounting, tax and bookkeeping; websites, hosting and email; website SEO and GDPR compliance; marketing, CRM and automation; patient communication and front desk; social media and content; AI, voice and productivity; wellness and movement platforms; and community building. Every tool listed is one Wellmarkit uses itself or installs for clients.

Some links are affiliate links, meaning Wellmarkit may earn a commission at no extra cost to the user. Recommendations are not paid placements. The list serves both clinics and private practice — therapists and allied health professionals — and Wellmarkit implements many of these tools for clients through its audit, website and automation services.

A quick, honest note on how this page works

Some of the links on this page are affiliate links. If you start using a tool through one of them, Wellmarkit may receive a commission — at no extra cost to you, and often with a discount or free credits passed on to you.

Here is the rule we hold ourselves to: nothing earns a place on this page by paying for it. Every tool listed is one we either use ourselves or install for clients. Where a free tool is the better choice, we say so. And where a tool we earn nothing from is genuinely the better fit, we’ll tell you that too.

A word on client data: any tool that stores patient or client information is your responsibility to assess. We can help you weigh up the data-processing terms, but always confirm a tool meets your GDPR and professional-body obligations before you put client records into it.

Frequently Asked Questions

Some of them, yes. Where a link is an affiliate link, Wellmarkit may receive a commission if you start using the tool through it. It costs you nothing extra, and several partners pass on a discount or free credits. Paying a commission never buys a place on this page — every tool is one we use or install.

No. The price is the same whether you use our link or go direct. In a number of cases you actually get a better deal — a discount, extended trial or free credits — because that’s how the partner has set it up.
One rule: utility first, commission never. A tool only appears here if we use it ourselves or install it for clients. Where a free tool is the better answer, we say so. Where something we don’t earn from is the better fit, we’ll tell you directly.
Often, yes. Practice management, websites, automation, Google Workspace and compliance are all things we configure as part of our done-for-you work. The fastest way to find out what’s worth installing in your practice is an audit (clinics) or a mentoring session (therapists and allied health).
It depends on your discipline and size. For solo and small therapy practices, WriteUpp and Zanda are both strong; Simple Practice is popular in the US. For physiotherapy and busier multi- practitioner clinics, Jane is excellent. For nutrition work, NutriAdmin is purpose-built. A single mentoring session will match the system to how you work.
If you want something free to start, Setmore. If you need intake forms or deposits, SimplyBook.me. If you rent or share rooms, Skedda handles space booking. And if you’re ready for a full system, your practice management software usually has booking built in — which is tidier than running a separate tool.
For accounting, Xero is our general recommendation; Heard is built specifically for US mental health providers and bundles bookkeeping, taxes and payroll. For payments, Revolut Business, Square and SumUp each suit different setups. The right mix depends on where you practise and how you bill.

The reputable ones are built with healthcare data in mind, but compliance is ultimately your
responsibility. Before storing client records in any tool, confirm it offers an appropriate data-
processing agreement and meets your GDPR and professional-body obligations. We can help you
assess this as part of an engagement.

Start with the foundation: professional email (Google Workspace) and a way to take bookings. Then fix whatever is costing you the most — usually enquiries leaking or admin eating your evenings. If you’d rather have that sequenced for you, that’s exactly what an audit or mentoring session produces.

The tools matter less than the order you fix things in

Any of these can help. But software only pays off when it’s solving the right problem at the right time. That’s the part worth getting right — and it’s the part we’re here for.

No pressure. If we’re not the right fit, we’ll tell you.
